About the Opportunity

CIBTvisas now has an exciting, full-time opportunity for a Document Coordinator (Executive Services) to join their Concierge Team, located on St Kilda Road in Melbourne. 

The Concierge team supports CIBT’s commitment to exceptional customer service satisfaction and operational excellence by providing a dedicated specialist to manage the entire Visa application process from start to finish for executive level clients.

This role will see you working alongside a team of 8 in the Melbourne office and managing a client base seeking a superior level of service for the consultation and complete handling of their travel documentation. This will predominantly include corporate clients, however, you will also work with a range of high-net worth individuals requiring a customised, confidential service.

More specifically, some of your day-to-day duties will include (but not be limited to): 

  • Utilise phone and email communications to keep customers informed where required
  • Ensure all work is properly documented
  • Reviewing and preparing documentation for  Consulate and Embassy submissions
  • Assessing the accuracy of submitted documents
  • Clear, concise and accurate visa advice
  • Working proactively to identify and communicate to customers any potential issues that would prohibit CIBT from meeting their date required;
  • Resolving incomplete data on forms; and
  • Handling all rejected embassy submissions by re-contacting customers and re-lodging work. 

About You

This is an exciting opportunity for mature minded professional, who thrives in a busy and dynamic environment and understands the importance of putting the client first. 

The ideal candidate will have at least 1-2 years experience working in a corporate environment, providing administrative support for executive level staff or clients. If you have had experience in a similar role, great, but this is not mandatory.

You will have a strong attention to detail and be a steel trap when it comes to the accuracy and proofreading of your work. You will be comfortable working to tight deadlines, with the ability to manage your workloads and show resourcefulness in solving potential problems.

Important, CIBT is staffed by small teams and fluctuating demands. Hence, it is essential that the successful candidate has an excellent work ethic and is prepared to work collaboratively with other staff until the work is finished, contributing to helping other team members with tasks when required.
