About the Opportunity

Methanex is currently seeking an Administrative Assistant, Stakeholder Relations and Reception to join the team in Medicine Hat for a temporary term with an anticipated start date of March 1st, 2019 through to December 31st, 2020.

In this role, you will provide effective administrative and organizational services to the Stakeholder Relations department at Methanex Medicine Hat and coordinate the Methanex Medicine Hat reception area, promoting a professional and friendly atmosphere to all internal and external customers through all modes of communication. You will also be responsible for the professional administration of the site security access system.

Responsibilities include, but are not limited to:

  • Providing a high-quality reception service by way of the reception desk, telephone, and fax services. This will include receiving, directing, and relaying telephone and fax messages as required, while also promoting a friendly and professional atmosphere.
  • Administering and monitoring the site security system, including issuing security access cards in accordance with policy, and the monitoring of site security cameras.
  • Administering the site access and orientation database and documentation, and coordinating scheduling of orientations.
  • Providing exposure hours data for various reports.
  • Maintaining the site internal telephone directory and distributing to employees.
  • Administering and coordinating the Methanex Medicine Hat mail service, including stamping, distributing, and collection, as well as coordinating the packaging and pick up of outgoing items and callout as needed.
  • Providing timely and confidential general administrative support to Stakeholder Relations including arranging meeting and travel itineraries, filing, photocopying, and handling mail and messages.
  • Providing administrative support for stakeholder meetings, visits, tours and events, including the preparation of agendas, minutes and other documents.
  • Providing administrative support for specific committees, specifically the Community Advisory Panel and the Social Responsibility Committee.
  • Providing desktop application support via MS Office applications for word processing, spreadsheets, presentations and other associated software applications to develop letters, reports, graphs, schedules and other documents.
  • Maintaining the department network drives and supporting the administration of the departmental intranet site and the digital screen content, as well as content for the Medicine Hat portion of the Methanex external webpage.
  • Administering lobbyist reporting, expenditure tracking and departmental training tracking.
  • Providing department requisition and accounting support, including expense reports and corporate credit card statements.

To qualify for this role, it is preferred you have a post-secondary diploma in Office Administration, Communications, or a similar discipline and a minimum of 3 years of previous experience in an administrative role.

You will also possess:

  • Superior proficiency with the Microsoft Office Suite of programs (specifically Word, Excel, Outlook, PowerPoint and Publisher) as well as Adobe Photoshop and internet-based applications.
  • An understanding of public affairs, community relations, social responsibility, and/or government relations as a key asset.

Exceptional written and verbal communication and listening skills are critical to this position, including the ability to edit and proofread documents.

Further, you have the ability to develop and maintain positive relationships with a variety of stakeholders. Strong team collaboration and stakeholder relations skills including integrity, diplomacy and tact are essential, as is a strong customer focus evidenced by a dedication to exceeding the expectations of internal and external customers. You must be extremely organized and detail-oriented with strong, planning, prioritization and time management skills. 

The ability to manage several competing priorities simultaneously and respond to shifting priorities is essential, as is the ability to work both independently and collaboratively within a team, assisting others as workload demands allow. 

You will have sound judgement and an ability to make valuable recommendations based on a mixture of analysis, wisdom and experience. Finally, you are independently motivated, able to work effectively with minimal supervision, are respectful and sensitive to cultural difference and able to maintain information in absolute confidence.
