About the Opportunity

Due to an exciting period of growth and expansion, Chill now has a rewarding opportunity for an organised and adaptable Transport Coordinator to join their team in Dandenong on a full-time basis.

Reporting to the Senior Planner, this role will see you support and facilitate the supply chain operations of Chill by coordinating personnel (drivers and vehicles) and processes to achieve the effective distribution of goods to their final destination.

This is an exciting role that will see you use your ability to remain calm under pressure in order to accurately and efficiently provide service information and resolve any emerging problems that Chill drivers or the customer service team might face.

More specifically your responsibilities in this role will include:

  • Ensuring a first class service is received by the end customer.
  • Developing key client and stakeholder relationships to support the Chill team and update the CRM pipeline.
  • Receiving and processing telephone enquiries or orders.
  • Answering phone and email enquiries relating to transport/storage and confirming inbound bookings and payment. 
  • Gathering timesheets and invoices from staff and contractors to review and check with the Senior Planner.
  • Understanding and appropriately using the company rate cards system and policies to quote on new & ad-hoc business enquiries. 
  • Maintaining accurate pre-transport and post-transport administration.
  • Working with people to ensure Chill is as efficient as possible in terms of end to end logistics supply chain, health and safety, onboarding, and training. 
  • Assisting drivers with any issues that may arise after hours as required. 
  • Assisting with financial management by using Xero and Carton Cloud to prepare, control, and review invoices and financial statements. 
  • Complying with the Supply Chain of Responsibility obligation to ensure breaches of road transport laws do not occur.

While you'll primarily be working between office hours of 08:30 am to 17:00 pm, this is the transport industry - even the best laid plans can change at the 11th hour and from time to time queries may arise after hours which will need to be responded to. 

About You

To be considered for this role you will need experience in either the Supply Chain Management, Transport or Logistics industries OR significant administrative experience and a desire to move into the transport industry. The successful candidate will be a quick learner who is comfortable with new systems and highly confident when it comes to the Microsoft Office suite and Google suite of products. Candidates with a relevant qualification will be viewed favourably, however this is not essential. 

It almost goes without saying that you'll need to be a highly organised and level-headed professional with the ability to work effectively with a range of stakeholders and personality types. You'll be adept at managing multiple competing demands, with a natural talent for working under pressure. 

Excellent communication skills, a love for planning, and strong strategic thinking abilities will ensure your success in this challenging but highly rewarding role.
