About the Opportunity

The client is seeking a driven Team Secretary/Office Manager to join their growing Brisbane team, based in Milton.

This is a highly varied role, ideal for an applicant with administrative skills who is looking for a long term career to grow into.

In this role, you will be responsible for conducting general office duties, assisting the Accounts Manager and assisting the Senior Management team.

Some of your duties will include (but are not limited to):

  • Typing of tenders/quotations, progress claims, general correspondence etc;
  • Typing and distribution of project meeting minutes and typing of site meeting minutes;
  • Maintaining stock levels for office stationary and consumables and other administrative duties;
  • Creating new job, project and accounts files and preparing project main files, site files, project contact lists and supplier tenders;
  • Matching of invoices to purchase orders and data entry of purchase orders and invoices;
  • Answer incoming calls to main line (half day share with Schiavello Systems on an alternating basis of morning and afternoon shifts);
  • Collating all attachments required for tender submissions and preparing and completing tender forms; and
  • Managing project related travel and accommodation.

The ideal candidate will have demonstrated experience in a similar role within a busy office environment. You'll need advanced knowledge in the Microsoft Office Suite, including Microsoft Word formatting skills, and intermediate knowledge in Adobe Acrobat Pro.

The client is seeking an applicant with highly developed time management, organisational and attention to detail skills. Your ability to prioritise multiple tasks and work under pressure to meet deadlines is essential to this role.

Additionally, you'll require exceptional communication skills, will be well presented, energetic and possess strong interpersonal skills with the ability to work both autonomously and as part of a team.
