About the Opportunity

Brazeau County has an exciting opportunity for a Public Works Administrative Assistant to join our team in Drayton Valley, Alberta. 

In this role, you will report to the Director of Public Works & Infrastructure and provide clerical and administrative support to 9 supervisors in the Public Works Department including: the Director of Public Works & Infrastructure; (2) Project Managers; the Superintendent of Utilities; the Maintenance Supervisor; the Assistant Maintenance Supervisor; the Construction Supervisor; the Assistant Construction Supervisor; and the Supervisor of Supplies and Services.

Your regular responsibilities will include, but are not limited to:  

  • Preparing and proofreading various correspondence, reports, agreements, forms, and memos for all positions listed above
  • Liaising with all County departments with regards to Public Works policies, the location of supervisors, the location of files, taking messages and/or coordinating meetings
  • Booking appointments for the Director of Public Works and Infrastructure and supervisors, as well as setting up meetings, booking accommodations, travel, and training seminars, as well as preparing conference rooms
  • Taking notes during meetings and maintaining holiday schedules for supervisors and field staff
  • Conducting research on various topics by locating historical information, contacting other municipalities, and researching online, etc.
  • Assisting with the winter and summer gravel hauls, including advertising, preparing applications for haulers, collecting applications, completing follow-up checks on outstanding accounts, and WCB coverage for haulers
  • Processing cheque requests for hired trucks and collecting and entering all gravel tickets
  • Communicating with Project Managers and Maintenance Supervisors with regards to stockpile inventories
  • Preparing land agreement documents for pipeline crossing requests, land acquisitions, back slopes, borrow pit, right-of-entry, and road cancellations in conjunction with the Director of Public Works and Infrastructure, Project Manager and Construction Supervisor
  • Acting as the Commissioner for Oaths and registering and discharging all related caveats with the Land Titles office
  • Maintaining all files for lease agreements (REC, MLL, SML) between the County and the Province

The ideal candidate will have a post-secondary education in administration (Bachelor's degree preferred) and 5 - 10 years of experience (ideally in a civil engineering consulting or municipal engineering environment)

The successful candidate will also possess the following: 

  • A keyboard typing speed of 60 words per minute or greater
  • Proficiency in Outlook, Word, Excel, Powerpoint, Internet Browsers, Fax Machines, Photocopiers
  • Exceptional Spelling and Grammar skills and the ability to draft letter/reports
  • The ability to read area maps and respond to stakeholder inquiries
  • The ability to prepare legal documents and to review contracts
  • The authority to act as a commissioner For Oaths or a willingness to become a commissioner
  • The ability to defuse distressed callers and communicate with various stakeholders
  • The ability thrive in an ever-changing environment and to work with minimal supervision
  • The ability to maintain confidentiality with sensitive matters
  • The ability to prioritize and complete multiple tasks from multiple supervisors
  • The technical ability to set up meetings and prepare minutes of meeting
