About the Organisation

State Sports Centres Trust is a statutory authority which governs the Melbourne Sports Hub's four venues; Melbourne Sports & Aquatic Centre (MSAC), State Netball Hockey Centre (SNHC), Lakeside Stadium and the MSAC Institute of Training, a specialist training institute for the sport and recreation industry.

Melbourne Sports Hub is home to a diverse range of programs and state sports, and hosts events such as national and state championship events as well as high profile events like the Nitro Athletics.

About the Opportunity

The State Sports Centres Trust (SSCT) has an exciting full-time opportunity for an experienced Executive Assistant to join their team based at Melbourne Sports and Aquatic Centre in Albert Park, Victoria.

Reporting to the CEO and working in close conjunction with the GM of Corporate Services, you will be responsible for providing professional secretarial services to the Executive as well as dynamic administrative support including preparing reports and trust papers, coordinating board meetings and organising schedules. 

More specifically, your duties will include (but will not be limited to):

  • Preparing and editing correspondence, communications, presentations and other documents;
  • Filing and retrieving documents and reference materials;
  • Conducting research and analysing data for report preparation and documentation;
  • Managing and maintaining the executives' schedules, appointments and travel arrangements;
  • Records management;
  • Coordinating project-based work; and
  • Providing effective gatekeeping for the executive team.

To be considered, you'll have extensive experience providing high-level administrative support coupled with advanced computer literacy including experience using and publishing in Sharepoint and strong Microsoft Suite skills. Importantly, you'll be highly organised with strong time management skills which will ensure your ability to manage competing priorities, organise workshops or meetings and manage multiple calendars. 

You will also have previous experience in event coordination/management.

The State Sports Centres Trust is looking for a discrete, customer service oriented executive administration professional who understands confidentiality and is capable of working autonomously to make sound decisions in the absence of the CEO and other members of the Executive team.  You will have a professional demeanour and outstanding written and verbal communication skills. In addition, you will also have strong stakeholder management skills and will have the ability to easily build rapport with Government Members, board members, sporting partners, staff members and the community. 

An understanding of State Government statutory requirements and a willingness to learn and commit to the organisation's values is essential.

While not required, candidates with qualifications in Business Administration, Event Management or another relevant field and/or those with an AICD Qualification will be highly regarded.  Additionally, those with knowledge of the health, fitness or sports industry or previous experience working with a Statutory Authority will also be viewed favourably.  

A current driver's licence is also desirable.
