About the Opportunity 

Methanex is currently seeking an Administrative Assistant, Technical to join the team in Medicine Hat.   

Working both independently and as a collaborative member of the Technical team, you will provide a variety of administrative support services in a professional, timely, accurate and confidential manner while contributing to the efficient operation of the department. 

Key accountabilities include: 

  • Maintaining the engineering project list, project files, project database and technical library material
  • Issuing technical memos and maintaining the technical memo database
  • Preparing and distributing weekly, monthly and annual Key Performance Indicator (KPI) reports
  • Preparing monthly Outstanding Incident /Action reports for review at department meetings
  • Updating technical department information on Methanex intranet site, MIKE
  • Assisting site personnel with the retrieval of project information
  • Preparing department personnel timesheets and leave requests for payroll processing
  • Compiling and completing expense reports including credit card expense claims
  • Facilitating meeting management including scheduling, agenda preparation, recording and distribution of minutes, as well as organizing conference calls and catering
  • Coordinating aspects of department training activities including facility arrangements, printed materials, and catering, and also maintaining databases related to technical personnel’s training needs
  • Facilitating department travel arrangements for the Technical team
  • Maintaining the department inventory of office supplies
  • Providing relief support for reception and other administrative assistants, as required
  • Completing special projects, as assigned
  • Actively participating as a member of the local Reliability Committee and Electrical Safety Program Committee

To qualify for this role, you will have a post-secondary diploma in Office Administration or a similar discipline and a minimum of three years of previous experience in an administrative role

You will also have formal training and demonstrated advanced level proficiency with Microsoft Office suite of programs, specifically Excel, Word, Outlook, PowerPoint and Publisher. Previous experience in an industrial setting is an asset. 

This role is well suited to someone who is customer-focused and is dedicated to meeting the expectations of internal and external customers. You will also have superior written and verbal communication, presentation and listening skills, as well as a strong ability to develop and maintain positive relationships, including strong team collaboration skills, diplomacy and tact. 

Sound judgment and the ability to make valuable recommendations based on a mixture of analysis, wisdom, and experience will serve you well in this role, as will the ability to maintain manage several competing and evolving priorities. Independently motivated and results-oriented you consistently meet and exceed identified goals and work effectively with minimal supervision. 

You will be extremely organized and detail-oriented with strong prioritization, planning and time management skills and able to maintain information in absolute confidence.
