The Eastern Melbourne PHN (EMPHN) is a new organisation established to increase the efficiency and effectiveness of Health services for patients, particularly those at risk of poor health outcomes, and to improve coordination of care to ensure patients receive the right care in the right place at the right time.

We are now seeking an experienced and passionate Executive Administrator to join our team. The purpose of this role is to provide high level executive support for the CEO and the executive team of the EMPHN.

Reporting to the CEO, you will be responsible for full management of the CEO’s diary and travel requirements and also provide support to the EMPHN executive team.  You will be the initial contact for enquiries, screen telephone calls and provide appropriate responses, assess priorities for the CEO, draft correspondence as required and collect information and data to compile reports and papers.  You will manage stakeholder engagement meetings and briefings on a regular basis, and maintain records and filing for the executive management team.

You will be required to deliver a professional, proactive, accurate, efficient, confidential and customer focused service.

 

The successful candidate will possess:

  • Significant experience in administration, office management, and executive assistant roles.
  • Demonstrable high level skills in MS Office, particularly Microsoft Word, Excel and Outlook.
  • Experience and confidence in maintaining multiple databases.
  • Secretarial qualifications/Certificate IV or diploma of business administration, or similar.
  • Evident capacity to build relationships and partnerships with staff and EMPHN’s key stakeholders.
  • Ability to work independently, with minimum supervision, as well as contribute effectively within a team environment.
  • Excellent communication, planning and time management skills.
  • Ability to operate effectively in a highly confidential organisation and exercise discretion in dealing with confidential and sensitive issues.
  • Initiative and have the ability to recognise and implement change.
  • A sense of humour.
