This growth is due to existing business acquisitions and tender wins across the world including Australia. The company's Australian operations (the largest outside of the UK) are going from strength to strength, rapidly expanding across 7 different brands. 

We are currently looking for a vibrant and motivated Office Manager/PA to join our support office in an important 'administration all-rounder' capacity. If you are someone who is excited at the prospect of playing a pivotal role in shaping both office culture and procedures, read on.

 

Duties and Responsibilities

PA to Managing Director:

  • Extensive diary and email management
  • Event and meeting coordination - manage action items and briefing materials for meetings and gather information for the Managing Director prior to meetings
  • Manage all travel arrangements domestic and international, including arranging itineraries, flights and accommodation
  • Assist in the preparation of presentations, proposals, reports and agenda's
  • Attend team meetings, take minutes and send out follow up actions
  • Carry out daily administrative tasks for the Managing Director, including report printing, expense claims, preparing travel itineraries
  • Perform ad-hoc and project work as directed by Managing Director
  • Provide general administrative support across the wider team

Office management:

  • Set up and maintain office systems and procedures as required
  • Effectively handle queries and complaints via phone, email and general correspondence
  • Manage procurement of all office supplies of stationery, office supplies, equipment and furniture
  • Manage relationships with external stakeholders including travel company, stationery supplier, and courier company
  • Organising and managing all events for the Support Office, including running events for our Charity Partner
  • Observe and practice the WHSmith OH&S policy, guidelines and procedures
  • Perform ad hoc tasks as and when required by the business

About you:

  • Previous relevant experience in supporting of a senior leader
  • Experience in managing travel and diary management
  • Background in administration and office management practices
  • Exceptional time management and organisational skills, with the ability to meet deadlines
  • Experience in building relationships with external and internal stakeholders
  • A high level of attention to detail and accuracy
  • Exceptional communication skills
  • Advanced level of Microsoft Office skills
  • Able to work well under pressure and be able to prioritise 
  • Proactive, professional and highly capable of building rapport with people at all levels of the organisation
  • Flexible, adaptable, highly self-motivated and self-managed
