About the Opportunity

Methanex is currently seeking an Administrative Assistant - Turnaround to join the team in Medicine Hat for a temporary term with an anticipated start date of May 2019 through to September 2020.

In this role, you will provide administrative support to the Turnaround Team by managing numerous, competing priorities with superior business acumen and advanced communication, computer, planning, and organizational skills in support of the 2020 Methanex Medicine Hat facility turnaround.

Responsibilities include, but are not limited to:

  • Providing general administrative support to the Turnaround Team including the preparation of documents, spreadsheets, and presentations as well as ordering and maintaining office supplies. 
  • Assisting with the control and maintenance of turnaround policies and procedures, and further facilitating document control including hard copy printing, hard copy filing, and electronic filing. 
  • Compiling and completing expense reports.
  • Preparing team members timesheets and leave requests for payroll processing ensuring all training, business travel, vacation, and other exception time for team members is tracked. 
  • Facilitating meeting management including scheduling, agenda preparation, recording and distributing minutes, and organizing conference calls as well as organizing catering and other support activities as required. 
  • Facilitating team travel arrangements including flights, hotels, car rentals, and training. 
  • Participating in community outreach and social functions as part of team building, health, and relationships. 
  • Accomplishing Turnaround results by soliciting feedback on performance, maintaining communications, understanding expectations, identifying improvement opportunities, and following systems, policies, procedures, and performance standards. 
  • Contributing to the organizational vision of Global Methanol Leadership and as a team member demonstrating the core values of Trust, Respect, Integrity, and Professionalism.
  • Conducting all business in a manner which supports the Responsible Care ethic.
  • Ensuring the use of RC Safety Policies and Procedures to protect people, the plant, and the environment while ensuring best practices in both Global and Industry Standards are maintained.
  • Understanding and being familiar with Methanex site corporate safety policies and Turnaround procedures to conduct work safely and efficiently. 

To qualify for this role, it is preferred you have a post-secondary diploma in Office Administration or a similar discipline and a minimum of 3 years of previous experience in an administrative role.

You will also possess:

  • Superior proficiency with the Microsoft Office Suite of programs (specifically Word, Excel, Outlook, and PowerPoint) and web-based applications.
  • Experience with Computerized Management Maintenance Systems (CMMS).

Exceptional written and verbal communication and listening skills are critical to this position, including the ability to edit and proofread documents.

Further, you have the ability to develop and maintain positive relationships with a variety of stakeholders. Strong team collaboration and stakeholder relations skills including integrity, diplomacy and tact are essential, as is a strong customer focus evidenced by a dedication to exceeding the expectations of internal and external customers. You must be extremely organized and detail-oriented with strong, planning, prioritization and time management skills. 

The ability to manage several competing priorities simultaneously and respond to shifting priorities is essential, as is the ability to work both independently and collaboratively within a team.

You will have sound judgement and an ability to make valuable recommendations based on a mixture of analysis, wisdom and experience. Finally, you are independently motivated, able to work effectively with minimal supervision, are respectful and sensitive to cultural difference and able to maintain information in absolute confidence.
