About the Opportunity
Due to expansion, Adept has an exciting full-time opportunity for a dynamic Office Manager to lead their friendly team in Jewells, Newcastle.
This is a highly varied role for an experienced administrator in which you will be responsible for managing the office workflow, including administration and technical staff, to ensure all responsibilities are met efficiently and to a high standard.
Working within a company that prides itself on the high quality of its services, you'll be directly involved in supporting the management team of this successful small business, thereby contributing to the growth of the business' reputation and coverage throughout Australia.
More specifically, some of your key duties will include:
- Proficient allocation of both existing work and new requests to inspectors to ensure smooth and efficient workflow, even distribution of work and timely completion of jobs;
- Overseeing allocation of tasks to administration staff and providing supervision;
- Assisting with the setup of administrative systems and processes;
- Liaising with customers, suppliers and various other stakeholders;
- Generating and maintaining customer data and other reports;
- Managing timesheets and leave entitlements; and
- Monitoring inspector visas, and booking flights and logistical co-ordinations.
Adept is looking for an experienced office administrator who enjoys working effectively as part of a close-knit and supportive team environment who has excellent people skills and a positive outlook.
Ideal candidates will have extensive experience in logistical coordination and have confidence in the set up and development of new system and processes. They will have the ability to see the big picture, the bottom line and identify priorities. As a part of this job will be proof reading, the applicant should also have excellent grammar and spelling. (This will be screened within the interview process).
This is more than just an administration role! Your success in this position will rest on your ability to quickly build rapport with clients, suppliers and colleagues while exercising your highly developed organisation and time-management skills to prioritise tasks and produce high-quality results within deadlines. Importantly, you will have a positive "get up and go" attitude, strong communication skills and a client focus. In addition, you will have excellent attention to detail and be highly organised, with the ability to work under pressure.
