The Barcaldine Region is located in central west Queensland approximately 440km west of Rockhampton, covering an area of 53,677 sq km with an estimated population of 2,900 people.

The Regional Council is made up of the former Shires of Aramac, Barcaldine and Jericho including the towns of Alpha, Jericho, Barcaldine, Aramac and Muttaburra.

The region is one of the largest cattle producing regions in Central Western Queensland and also has a productive sheep, wool and macropod harvesting industry with the prospect of mining.

 

About the role:

Do you enjoy administrative work and have excellent organisational skills? we are searching for a skilled Executive Support Officer to assist our Director of Corporate and Community Services with liaising with external parties, scheduling, and general administrative tasks. 

The successful applicant will be responsible for:

  • Processing confidential correspondence, documentation, and administrative tasks for the appointed executive leader, handling highly sensitive matters with discretion in accordance with Council's confidentiality requirements.
  • Arrange meetings, prepare agendas and briefing materials, ensure follow-up actions are completed, and assess urgency of incoming requests to prioritise the executive leader's workload effectively.
  • Monitor workflows, deadlines, and projects to identify potential issues early, implementing solutions and escalating matters where appropriate.
  • Action and follow through on commitments made by the executive leader, tracking progress and ensuring completion without constant oversight.
  • Prepare and distribute communications on behalf of the executive leader to internal and external stakeholders, liaise professionally with community members, council staff, and external stakeholders, and collaborate with other Executive Support Officers across Council to support high-level executive functions.
  • Lead project-based work to support the executive leaders' priorities and strategic initiatives, including scheduling timelines, delivering outcomes, engaging stakeholders, and conducting research and data analysis.
  • Prepare complex reports, letters, and other documents, process and distribute emails, enter and analyse data, administer registers, process financial transactions, schedule itineraries, and update social media and website content in line with established guidelines.
  • Operate and maintain corporate systems, including finance systems, meeting platforms, registers, portals, and other organisational technologies, maintaining accurate records and documentation to ensure compliance with legislative and policy requirements.

Location: This position is based in Barcaldine with regional work and travel as required.

Classification Level: Minimum level 4.1 of the Queensland Local Government Industry (Stream A) Award – State 2017 and the Barcaldine Regional Council Certified Agreement 2025. 

Wage: Minimum base salary of $80,603.64 per annum + Superannuation (up to 12%) and relevant approved allowances.

Payment of Wages: Council employees are paid fortnightly.

Hours of work: 72.5 hours over 9 days with a rostered day off every fortnight.

Leave: Five (5) weeks annual leave per annum + 17.5% loading. Fifteen (15) days Personal Leave (sick leave) per annum.

 What we are looking for:

  • Certificate IV in Business Administration or equivalent, and/ or a minimum of two (2) years' experience in an administrative support role within a complex environment.
  • Current Queensland class 'C' Driver Licence.
  • Proven ability to work autonomously, anticipate needs, and proactively identify and resolve issues before they escalate, demonstrating initiative, sound judgement, and high-level problem-solving skills, with the ability to know when to escalate matters.
  • Strong organisational and time management skills with demonstrated ability to prioritise and progress multiple competing tasks, projects, and deadlines simultaneously, taking ownership and seeing work through to completion without constant supervision.
  • Proven ability to handle highly confidential and sensitive information with absolute discretion and professionalism.
  • Strong computer skills with demonstrated fluency in corporate systems, including Microsoft Office Suite, finance systems, records management systems, meeting platforms, registers, portals, and other organisational technologies.
  • Strong written and verbal communication skills, with the ability to communicate professionally on behalf of an executive leader and to represent the Director to internal and external stakeholders, complemented by exceptional customer service skills.
  • Demonstrated success in delivering high-quality executive-level administrative support, with sound knowledge of advanced administrative practices and procedures, including the ability to lead and advance project-based work.
  • Experience working collaboratively and contributing positively to a team-focused, continuous improvement environment, including working with other Executive Support Officers across an organisation.
  • Previous experience working in Local Government or with other government bodies, highly desirable.
