About the opportunity

This is an exciting permanent, full-time opportunity to work as a Executive Conference Administrator in our Executive Secretariat section. The role is responsible to provide a high level support to Councillors and staff in organising booking training, related travel and accommodation arrangements for attendance at conferences and seminars.

Some of the duties include:

  • Provide excellent customer service through the timely handling of telephone enquiries, emails and associated messages from Councillors, staff and public
  • Prepare requests for payments of accounts incurred in attendance at conferences, seminars and training, calculate and organise payment for sustenance and Councillors’ allowances when incurred, in accordance with our Civic office expenses and facilities policy
  • Provide relief for all members of the Executive Secretariat team, which can include attendance at meetings and producing the minutes thereof
  • Responsible for updating Council's InSite page with updated details on conference and seminar procedures.

Qualifications and experience

Essential:

  • Certificate IV in Business Administration or a related field
  • Experience with the management of travel and conference bookings and/or administration and
    experience in the travel industry
  • Extensive experience in providing administrative support at an executive level
  • Sound interpersonal skills and a demonstrated commitment to customer service
  • Demonstrated proficiency in Microsoft products: Outlook, Word, Excel and PowerPoint
  • Current class “C” driver’s licence.

Desirable:

  • Experience in the use of CM9/TRIM and/or TechOne (Council’s recordkeeping and business software)
  • Demonstrated knowledge of the travel and associated industries
  • Knowledge of local government and applicable legislation/regulations
  • Ability to work within a team environment and autonomously
  • Availability to work flexible working hours.

Remuneration and benefits

The salary and conditions of employment are in accordance with Blacktown City Council’s Enterprise Agreement.

  • Entry level for this position starts at $1,663.50 per week
  • 35-hour working week 
  • Opportunity to participate in Council's flextime arrangement
