CENTRAL PROJECTS FUNCTION

Bravus’ new Central Projects Function is tasked with delivering the significant program of Facilities, Infrastructure, Processing, Rail Systems and Technology capital works for our Carmichael Rail Network, Bowen Rail Company, and Bravus Mining and Resources businesses.

This is an unmatched opportunity to work as part of a cohesive, multi-disciplinary team, on both rail and mining projects valued at more than A$100 million in the next 12 months alone.

Bravus’ mining, rail network, and freight rail assets have decades-long operational horizons, and this provides an exciting pipeline of largescale projects for the Central Projects Function to deliver.

 

ABOUT THE ROLE

This role can be based in Townsville, Rockhampton or Bowen. The Document Specialist is accountable for supporting the project team with document management systems, processes, and governance. This is a key role in supporting the project team to ensure it meets all its obligations through proactive management of efficient document control systems, registers, databases, and document management processes across all functions of the project team.

 

Responsibilities of the role include:

  • Oversee the organization and maintenance of all documents, both electronic and hard copy formats. Establish and maintain document control procedures to ensure consistency and compliance with relevant standards.
  • Administer, maintain and update the EDMS in consultation with stakeholders, to ensure it meets ongoing internal and external customer and business needs and supports compliance to relevant standards.
  • Manage document control systems or software to facilitate efficient document storage, retrieval, and tracking. Train Project staff on the proper use of these systems.
  • Ensure that the latest versions of documents are available to authorized personnel and that obsolete versions are archived or disposed of appropriately.
  • Work closely with other departments or project teams to support document-related needs and facilitate collaboration on document creation and review processes.
  • Provide training and support to staff on document management procedures and systems. Address any queries or issues related to document control.
  • Identify opportunities for process improvement and efficiency gains in document management practices. Implement changes and enhancements as appropriate.
  • Develop and maintain document control standards and procedures and ensure their consistent adoption in all areas of Capital Program
  • Oversee the development and implementation of quality forms, templates and process mapping for document management

Other qualifications and attributes required include: 

 

Necessary:

  • Experience in Document Control roles, working within diverse operations/projects with a minimum of 5+ years of document control experience.
  • Comprehension and application of various document control platforms and document tools (including Microsoft products).
  • Computer proficient (Advanced Microsoft Office, systems).
  • Excellent communication (oral and written) and professional presentation skills.         
  • Ability to commute across geographically isolated site locations to support operational requirements.
  • Comprehension and application of Technical Writing Principles.

 

Desired:

  • Detailed knowledge and experience using EDMS e.g., SharePoint, Aconex, etc.
  • Knowledge and comprehension of Quality and Safety management systems and standards.
  • Knowledge and comprehension of regulatory and legislative requirements specific to rail, mining and construction including acts, regulations, and accreditations.
  • Knowledge of Project and Change Management systems.
  • Tertiary qualification in Business, Project Management, or other related disciplines.
  • Current Open ‘C’ Class Driver’s Licence.
