Aged & Disability Onboarding Officer

Job No: CCW584
Location: Illawarra

Support service delivery. Strengthen systems. Make every onboarding experience seamless.

Are you someone who thrives in a structured environment and finds satisfaction in keeping things organised and running smoothly? Whether you're starting your career in administration or bringing years of experience, this role offers the chance to make a meaningful impact behind the scenes.

At CatholicCare Wollongong, we’re looking for an Aged & Disability Onboarding Officer who is detail-oriented, proactive, and passionate about supporting service delivery through efficient administrative processes. You’ll be part of a team that values professionalism, care, and collaboration — helping ensure that every client’s journey from referral to onboarding is smooth, timely, and well-supported.

Why this role could be your next move:

  • Make a difference daily: Support the onboarding of aged care and disability clients by managing documentation, data entry, and internal coordination.
  • Work with purpose: Help ensure clients receive timely and accurate service setup, contributing to their independence and wellbeing.
  • Enjoy stability and structure: Permanent 9am-5pm Full-Time position.
  • Maximise your income: Benefit from generous salary packaging and novated leasing options — allowing you to pay for everyday expenses like rent, mortgage, or vehicle costs with pre-tax dollars.
  • Feel supported: Be part of an organisation that values your contribution and offers ongoing development.

Our Benefits – We Care About You

  • Salary packaging up to $15,900 per year - tax savings to increase your take home pay
  • Additional paid personal leave every year
  • Long Service Leave after 7 years
  • Study Leave and professional development opportunities
  • Free and confidential Employee Assistance Program (EAP)
  • Discounted gym memberships through Fitness Passport
  • Employee Journey Insurance for peace of mind while commuting

What you’ll be doing:

  • Providing day-to-day administrative support to the Growth Lead and Aged & Disability Services team
  • Managing client onboarding documentation including intake forms, consent forms, service agreements, and welcome packs
  • Entering and maintaining accurate client data in systems such as CareLink or CRM
  • Coordinating with internal teams (rostering, finance, service delivery) to ensure onboarding readiness
  • Scheduling meetings, tracking referrals, and supporting reporting and compliance documentation
  • Responding to client and referrer enquiries with professionalism and care

What We’re Looking For

Essential:

  • Certificate III or higher in Business Administration, Community Services, or equivalent experience
  • 2–3 years’ experience in an administrative support role, ideally in aged care, disability, or community services
  • High attention to detail and ability to manage competing priorities
  • Strong proficiency in Microsoft Office 365 and client/CRM databases
  • Excellent written and verbal communication skills
  • Ability to handle confidential information appropriately

Desirable:

  • Familiarity with aged care and disability funding models (Support at Home, CHSP, NDIS)
  • Experience preparing service agreements and client documentation
  • Experience working in a values-driven or faith-based organisation
  • Understanding of CatholicCare’s mission and values
