An exciting opportunity exists to join the team at Emmanuel as Administration Secretary to provide additional support in front office reception. 

About the role

Applications are invited from suitably qualified and enthusiastic persons for this term-time position of Administration Secretary. This is a term-time contract position for 22.5hpw (across Monday, Tuesday & Friday) from 31 January 2022 until 2 December 2022.

The Administration Secretary is a key role in our school office, providing exceptional customer service to new and existing families as well as supporting students, staff and the school leadership team in a variety of ways.  Outstanding interpersonal skills, good attention to detail and effective organisational and technological capabilities are pre-requisites of the successful applicant.

The Administration Secretary will provide a variety of secretarial and administrative support which enables the maintenance of efficient administration systems which serve the educational function of the school.

Duties include but are not limited to:

  • Practice confidentiality in relation to all aspects of the role
  • Receive and deal with enquiries within well established routines eg provide information and assistance to the public, parents and other employees over the telephone and at reception
  • Perform a range of general clerical duties with limited complexity eg filing, handling mail and maintaining records
  • Use keyboard skills to produce a document from written text using a standard format
  • Operate within well established routines, office equipment such as computer, photocopier, binding machine, guillotine, laminator, calculators, telephone system, etc
  • Under the direct supervision of the Principal or nominee, contact parents, students and/or others in relation to school attendance and related matters
  • Under the direct supervision of the Principal or nominee assist with the arrangement of group meetings, morning teas, meetings of parents and external parties, parent/teacher nights etc
  • Carry out minor cash transactions including receipting, balancing, banking as well as use of eftpos machine

About you

The successful applicant will have an understanding of, and a commitment to, the ethos of Catholic education.  In addition, you will have excellent time management skills, well developed interpersonal skills and a high proficiency of computer skills.

Mandatory Requirements

  • A current valid Blue Card under the Working with Children (Risk Management and Screening) Act 2000 (WWC Act) and valid Suitability Notice is a requirement of the position.
  • Current Driver’s Licence
  • Ability to perform the physical requirements of the role in a safe manner.
