Central Highlands Regional Council has an exciting opportunity for an Information Management Officer to join the Information Management Team on a fixed term basis.
In this role, you will provide administration support to assist with maintaining, controlling and organising all aspects of Council’s record section’s operation, systems and functions and lifecycle governance of physical records. You will also have responsibility for the timely and successful completion of information management related tasks and project outcomes as well as assist the Information Management Team in supporting the organisation in undertaking effective Records Management Practices.
In this busy role, your will support the organisation by:
- Drive the maintenance and ongoing improvements to council’s Electronic Records Management System and overall information management system.
- Work as an SME in the lifecycle management of records and all aspects of retention and disposal, from cataloguing, sentencing, appraisal through to the destruction process. This includes
developing and implementing a Records Management Disposal Plan and identifying and applying the relevant Disposal and Retention Schedules applicable to councils’ corporate records and supporting in managing Physical Records Holding Projects. - Provide all aspects of archive lodgment, physical incoming hardcopy day-batching and triage of the Information Management mailbox services/functions.
- Ensure business outcomes that enhance efficient and effective service delivery and best practice customer outcomes, including through upgrade projects and conducting auditing of ECM, developing and disseminating analytical reports on audit findings, discrepancies and process improvements to ensure accurate recordkeeping has been accomplished.
- Ensure accuracy, currency and security of all records and supporting data is maintained at all times, including accurate and consistent archiving, scanning, registration and dissemination of corporate records in accordance with legislation and best practice.
- Provide responsive and effective customer service and stakeholder management, including through triage/action of the information management inbox.
To be considered for this opportunity, you will need to possess:
- Experience in records and information management, preferably within government.
- Minimum Queensland C class provisional drivers licence.
- Knowledge and experience in the development and implementation of records management systems and procedures including archiving, retention and disposal as well as the ability to educate others on these practices.
- Experience in providing guidance and training to employees across the organisation in various record keeping practices and effective registration of corporate information.
- Well-developed understanding and ability to implement the legislative requirements pertaining to Records Management.
- Understanding and knowledge of information security and previous experience dealing with confidential documents and sensitive issues.
- Excellent communication and interpersonal skills, to provide high quality service to internal and external clients.
- High level of professional general administration skills, with the ability to prioritise commitments, meet deadlines and work under pressure.
- Experience in the use of Enterprise Content Management - TechnologyOne is essential
