Central Highlands Regional Council is currently seeking an Administration Support Officer who will contribute to the sustainability of Council by providing administrative and office support to the Project Management Office (PMO). This will include the delivery of costing/financial, procurement and administration services whilst ensuring the service provided is timely, effective, and responsive to management requirements. This role requires a high level of diplomacy, confidentiality, and attention to detail, ensuring documentation is accurate and compliant, and enquiries are handled appropriately.
In this busy role, you will support the organisation by:
- Provide comprehensive, accurate and timely administrative support to the PMO, ensuring confidentiality is maintained. Contributing to the research and compilation of documents, reports, and submissions.
- Preparation of reports, agendas and minutes as required for support of the PMO, ensuring that documents are appropriately managed and recorded.
- Support end-to-end financial services for the PMO including procurement responsibilities (raising requisitions, purchase orders and goods receipting) Provide administration support to tender and quotation procurement processes.
- Liaise with internal and external customers, ensuring enquiries are escalated appropriately, resolved in a timely fashion and customer expectations are managed.
- Ensure records are accurate and filed appropriately following council’s records management policies, procedures, and practices.
- Ensure integrity of data and templates are maintained to a high level, including monitoring of version control.
- Demonstrate diplomacy and discretion ensuring the highest level of confidentiality is maintained. Policy and procedures. Interpret and follow council policy and procedures to ensure compliance with all policy, system requirements and legislative requirements. Assist when required to review and update PMO policy & procedures.
- To actively participate in ongoing training and self development to achieve continuous improvement for yourself and council.
- Taking reasonable care for health and safety of yourself and others, complying with reasonable instruction and co-operating with CHRC policy and procedure per ‘Duties of Worker’ contained in the Work Health and Safety Act as amended.
Additionally, this position may be required to conduct other duties as lawfully directed by the
reporting manager.
To be considered for this opportunity, you will need to possess:
- Minimum of Queensland C class provisional drivers licence.
- Competent in a wide range of Microsoft programs including skills in word processing (Microsoft Word) and document production of correspondence, memorandums, agendas and minute taking, spreadsheets (Microsoft Excel) and other documents.
- Well-developed computing, literacy and numeracy skills in an administrative environment, demonstrating attention to detail and a commitment to service standards.
- Strong knowledge in record-keeping and highly developed written and verbal communication skills.
- Developed skills in managing multiple conflicting priorities, meeting deadlines, and exercising discretion and sound professional judgement to ensure high quality service results.
- Excellent customer service approach with the ability to form strong professional relationships with internal and external stakeholders.
- Demonstrated knowledge of procurement processes and ability to interpret policies and procedures.
- Demonstrated ability to maintain a high level of confidentiality.
