JOB SUMMARY:

Provides administrative and clerical support for the Operational Services Division

 

DUTIES AND RESPONSIBILITIES:

  • Prepares reports, memoranda, correspondence, contracts, agreements, forms, agendas, minutes and related divisional documents by typing, electronic filing, record-keeping and creating and maintaining data bases
  • Prepares initial contract and tender documentation such as harbour moorage contracts, airport and transportation agreements and completes usage reports
  • Makes logistical arrangements for business travel and training and completes supporting documentation
  • Prepares audio-visual aids for divisional presentations
  • Prepares media advertisements for Operational Services
  • Researches and responds to enquiries and provides information to other divisions, departments and the public on services provided by city utilities, roads, buildings, harbours, airport, transit and other related divisional functions; documents calls for service and forwards to appropriate division 
  • Provides statistical and clerical assistance in the preparation of the divisional budget
  • Attends division safety talks, crew talks and required safety training; follows safe work procedures; reports hazards, injuries and near misses
  • Maintains professional and technical requirements for the position
  • Performs related duties as assigned

 

REQUIRED QUALIFICATIONS:

  • High School (Grade 12)
  • Valid B.C. Class 5 Driver’s License
  • W.H.M.I.S. Certificate
  • Accredited training (6 months) in computer software and operating systems relevant to administrative support
  • Up to date knowledge of the City’s computerized systems, administrative systems and office technology as required
  • Ability to approach work and relationships in a culturally sensitive and inclusive manner.

 

REQUIRED EXPERIENCE:

  • 1 year related experience
  • Or an equivalent combination of experience and education

 

PAY RATE:

This is a union position with the current pay rate of $35.27 per hour as outlined in the Canadian Union of Public Employees Local 798 Collective Agreement.

 

HOURS OF WORK:

8:00 am – 4:00 pm, Monday through Friday, up to 7 hours per day, up to 35 hours per week
