JOB SUMMARY:

The Operational Services Secretary provides efficient administrative and clerical and support to the Operations and Transportation divisions and serves as a primary point of contact for the public.  Responsibilities include preparing a variety of documents, filing documents in accordance with established records management processes, supporting routine procurement practices, and performing a variety of financial tasks related to operational activities.  Performs related duties.

This is a front-line customer service role requiring sound judgement, excellent interpersonal and communication skills, and the ability to interact professionally with the public, including during challenging interactions. 

 

REQUIRED QUALIFICATIONS:

 

Education and Training:

High School (Grade 12). Valid B.C. Class 5 Driver’s License. W.H.M.I.S. Certificate. Minimum of six (6) months of accredited training in office administration, business administration, computer applications or a related field relevant to administrative support.

One (1) year of related administrative or clerical experience.

Knowledge, Skills and Abilities: 
Working knowledge of administrative office procedures, records management practices and customer service standards in a municipal or operational service environment. Ability to prepare accurate correspondence, reports, forms, agreements, purchase orders, agendas, minutes and related documents. Demonstrated skill in using computerized systems, office technology and databases to maintain records and support daily operations. Ability to coordinate service requests, calls for service, travel arrangements, training documentation and routine divisional workflows. Communicates clearly and respectfully with the public, contractors, staff and internal departments. Demonstrates sound judgment when providing information and handling routine enquiries. Working knowledge of city utilities, roads, harbours, airport, transit and other divisional functions. Strong communication skills support coordination and demonstrated commitment to service excellence. Ability to work within, and contribute to, a high-functioning team environment. Flexible and adaptable to the changing needs of this position. Ability to learn and apply changing systems, procedures and policy requirements, support service continuity and approach work and relationships in a culturally sensitive and inclusive manner. 

 

PAY RATE:

This is a union position with the current pay rate of $37.03 per hour as outlined in the Canadian Union of Public Employees Local 798 Collective Agreement.

 

HOURS OF WORK:

8:00 am – 4:00 pm, Monday through Friday, up to 7 hours per day, up to 35 hours per week.
