  • Full-time, fixed-term maternity relief to 17/07/2020 - 35 hours per week.
  • This position is open to internal staff only.

As the Administration Officer supporting the Art Gallery, you will be a pivotal point of contact and liaison with stakeholders from a diverse range of government, private, public and community sectors.

This role provides timely and accurate administrative support to the Director and Art Gallery team to ensure the smooth running of the Art Gallery. You will support the Director in the preparation of business and financial operational reports as well as financial performance monitoring, and will be required to develop, coordinate and implement administration procedures and protocols for the Art Gallery.

In this role you will promote and enhance the professional image of the Art Gallery by providing a high standard of customer service through courteous and professional interaction with the public and key stakeholders. You will actively contribute as part of a diverse work team, with a capacity to work in a self-sufficient manner as well as developing and maintaining effective communication and working relationships within the Art Gallery team and key Cultural Facilities and Planning and Regulatory staff.

Additionally, you will prepare and manage email correspondence, meeting agendas, minutes, and presentations, and will also be responsible for file management and record keeping in ECM and CRM. This includes coordinating and maintaining the Art Gallery’s mail list Access database.

Further responsibilities include processing purchase requisitions, accounts payable and receivable, and ensuring Council’s Workplace Health and Safety System is implemented within work programs and procedures.

To be successful in this job you will have:

Essential

  • Tertiary qualifications in Office Administration or equivalent relevant business support experience.
  • Well-developed verbal and written communication skills.
  • Demonstrated negotiation, interpersonal and high-level customer service skills.
  • Demonstrated experience with the preparation and monitoring of budget reports.
  • Time management and the ability to prioritise and manage competing demands.
  • Demonstrated experience in providing a high level of administration support to management.
  • Demonstrated ability to positively contribute within a multidisciplinary team.
  • Capacity to work with minimum supervision and demonstrate initiative.
  • Proficient in the use of Microsoft Office Suite, electronic document and purchase requisitioning systems.

Desirable

  • Demonstrated experience with business/financial transactions.
  • Solid understanding of Local Government legislation and regulations.

Remuneration: $67,404.86 + 9.5% Superannuation per annum for a 35-hour week.
