About the team
The Contract Administration team sits within Business Services, supporting the Chief Procurement Office. The team ensures strong governance, compliance and consistency across construction and capital works contracts. Working closely with project teams, finance, procurement and external contractors, the team plays a key role in enabling efficient project delivery across the City.
About the role
As the Contract Administration Officer, you will support the delivery of major infrastructure and capital works through effective contract management, accurate record‑keeping and timely processing of payments, variations and approvals.
You’ll apply strong analytical and problem‑solving skills, maintain governance and compliance, and collaborate with a wide range of internal and external stakeholders. This role is essential in ensuring contract obligations are met, risks are managed, and high‑quality outcomes are achieved for the community.
Key responsibilities include:
- Administering contracts in line with legislation, contract terms, policy and processes
- Ensuring accuracy and completeness of approvals, documentation and audit requirements
- Coordinating timely processing of claims for payment, variations and contract close‑out activities
- Applying analytical and investigative skills to provide advice and solutions
- Maintaining accurate data and records in Open Windows, SAP and other systems
- Contributing to monthly reports, payment documentation and procurement/contract administration outputs
We’re looking for people who have:
- Strong attention to detail and commitment to compliance
- Experience in contract administration, procurement or similar functions
- Ability to manage time, prioritise and work autonomously
- Sound communication and stakeholder engagement skills
- Strong computer proficiency (SAP, Open Windows, MS Office)
- Certificate IV in Business or similar qualifications (highly regarded)
