About the role
The Information and Data Operations Officer is responsible for the delivery of various Information Management and Data advisory functions. The role also performs efficient and accurate transactional delivery of records management, data processing and information access functions.
The role plays a vital part in managing service demand and ensuring operational coverage, while ensuring the organisation’s compliance with Queensland’s recordkeeping and privacy obligations.
Roles & Responsibilities:
- Provide timely and accurate transactional and digitisation execution including:
- Scanning, imaging, and file movement tracking
- Data quality control and capture into corporate information systems
- Document registration, classification, and indexing
- Process and respond to routine requests for access to information, records retrieval, and customer enquiries requiring Information Management knowledge and expertise
- Monitor and manage shared mailboxes, workflow queues, and task assignments to support service level expectations.
- Operate in compliance with relevant legislation and policies, including:
- Public Records Act 2023 (QLD)
- Information Privacy Act 2009 (QLD)
- Queensland Government Information Standards (e.g. IS40, IS31, IS18)
- Use Electronic Document and Records Management Systems (EDRMS) such as Objective, or similar.
- Escalate complex, sensitive, or non-routine matters to Senior Enterprise Information and Data Officer or Governance staff.
- Assist in maintaining metadata accuracy and record integrity across systems of record.
- Provide friendly, helpful customer service to internal stakeholders seeking information and data management assistance and advice.
- Contribute to continuous improvement by identifying process gaps and providing suggestions for enhancement, including liaising with the Information Data & Analytics team on technology improvements and suggestions
- Ensure operational coverage across the Information and Data team during peak demand or leave periods.
- Operational tracking and quality assurance of actions relating to incoming information
- Apply quality assurance regimes over digitised hardcopy City records before destruction
- SAP receipting and Purchase Orders for external vendor contracts
We’re looking for people who have:
We’re looking for a detail-oriented and service-driven candidate who can deliver accurate records and data processing while maintaining strong compliance and customer service standards.
You will bring:
- Experience using an EDRMS (e.g. Objective or HP Content Manager) in a records administration capacity
- An understanding of records and information management practices
- Knowledge of confidentiality and privacy principles, with familiarity (or willingness to learn) Queensland’s Public Records Act 2023 and Information Privacy Act 2009
- Strong attention to detail and a commitment to data quality and record integrity
- The ability to manage competing priorities and meet service level expectations
- Experience using standard business systems (Microsoft Office, Outlook, SAP desirable)
- Strong communication and customer service skills
You’re organised, proactive, and comfortable working in a high-volume operational environment, contributing to continuous improvement while ensuring compliance and accuracy.
