Position Summary
Are you passionate about engaging with your community and delivering exceptional customer service? The City of Gold Coast is seeking a proactive, organised, and community-minded Divisional Officer to join our Division 11 Office. In this key role, your primary focus will be on managing end-to-end requests from residents, ensuring responsive engagement, timely resolutions, and clear communication. You will also provide essential mailbox and calendar management support to the Councillor and office team.

Our Community
Councillor Dan Doran serves Division 11. He was elected in 2024 and is Deputy Chair of the Economy, Tourism and Events Committee. He also serves on the Lifestyle, Environment, Heritage and Resilience Committee, and the Governance, Administration and Finance Committee.
Division 11 is a key central-southern electorate encompassing the master-planned suburbs of Robina, Varsity Lakes, and parts of Burleigh Waters. Spanning roughly 22 square kilometres, it is a bustling, family-friendly urban hub with an estimated population nearing 50,000 residents.
Key Responsibilities
- Serve as the primary point of contact for residents, triaging and managing end-to-end requests and enquiries through to timely and satisfactory resolution.
- Engage with residents, businesses, and stakeholders in a professional, approachable, and empathetic manner, fostering strong community relationships.
- Maintain accurate records of requests, communications, and outcomes for effective tracking and reporting.
- Provide support in mailbox and calendar management, including scheduling meetings, prioritising commitments, and preparing briefing materials for the Councillor.
- Support the smooth operation of the Divisional Office by contributing to administrative tasks and responding to emerging priorities.
- Assist with the office Budget administration including tracking expenditure, supporting project allocations, undertaking procurement activities, maintaining accurate record and escalating matters as required.
Skills and Experience
- Demonstrated experience in customer service, community engagement, administration, or a related field.
- Excellent people skills, with the ability to engage and build rapport with a diverse range of community members and stakeholders.
- Strong verbal and written communication skills, including experience drafting correspondence.
- Exceptional organisational skills, with the ability to manage competing priorities and maintain attention to detail in a fast-paced environment.
- Confidence using digital tools such as Microsoft Office, and the ability to quickly learn new platforms / Software.
- Sound judgement, discretion, and a proactive, solutions-focused mindset.
- Experience in executive support functions, including managing a high-volume inbox, coordinating calendars and commitments and supporting budget administration (desirable).
