Pro-Rata Salary Range of $83,500 to $91k Base (dependent on experience, skills and capabilities)

Plus 12% Superannuation and access to Not-for-Profit Salary Packaging with a value of up to $15,900.  (more information provided below). 

 

The Opportunity: 

The Project Officer will be part of The George Institute’s Injury Program working on two key studies: SWAPYT and SUnny. These are based within the Academic Project Operations (APO) team in Australia supporting research teams by managing the setup, conduct, and delivery of studies.

 

The SWAPYT study focuses on improving care for children and youth with trauma with a primary goal of creating and implementing a new clinical guideline for managing splenic injuries in young patients. This will be achieved through focus groups, workshops, and a mixed-methods implementation study.

 

The SUnny study is an observational study investigating how pregnant women use seatbelts. It aims to assess seatbelt fit and usage quality by identifying factors that contribute to poor fit and find effective ways to improve seatbelt safety beyond basic education. The study involves observing seatbelt use in a mock vehicle seat, 3D scanning, physical measurements, surveys on attitudes, knowledge, and comfort levels.  This study is conducted at the Royal Randwick Hospital for Women in Sydney.

 

We are seeking an experienced Project Officer to provide operational support for both studies.

 

 Key Responsibilities and Duties: 

  • Assist with recruiting study participants including pregnant individuals, consumers, and health professionals.
  • Engage with consumers and stakeholders to build strong partnerships.
  • Share study information through relevant networks and contacts.
  • Follow up with potential participants via email and phone to assess eligibility and interest.
  • Maintain phone logs and eligibility lists; collaborate on shortlisting participants.
  • Conduct informed consent processes.
  • Coordinate participant involvement in the study.
  • Organise and participate in meetings with various committees; prepare and distribute materials, take minutes, and compile feedback.
  • Monitor and respond to queries from the study inbox.
  • Support the preparation of ethics and governance documentation.
  • Attend and help facilitate data collection activities such as hospital visits, focus groups, and workshops.
  • Schedule meetings and site visits to support study readiness.
  • Communicate regularly with project and executive teams about recruitment and project updates.
  • Ensure accurate data entry and record keeping using SharePoint, REDCap, and other systems.
  • Maintain confidentiality and data security in line with the data management plan.
  • Adhere to study protocols and procedures.
  • Provide general administrative and operational support to the project and Injury Program.
  • Contribute to data analysis and scientific writing.
  • Complete relevant project training as required.

Skills, Knowledge and Experience/ Our Successful Candidate  

Essential

  • Tertiary qualification in health, science, or research, or equivalent experience/training.
  • Understanding of NSW public health system and clinical environments.
  • Experience engaging with patients, clinicians, and stakeholders.
  • Strong written and verbal communication skills, including excellent phone manner and ability to communicate with both the public and project teams.
  • Proactive, self-motivated, and able to work independently.
  • Skilled in influencing and negotiating.
  • Excellent time management, organisation, and attention to detail.
  • Capable of planning, problem-solving, and maintaining high-quality records.
  • Able to work flexibly with teams and stakeholders.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Knowledge of confidentiality in research settings.
  • Hold or be willing to obtain Working With Children Check and Police Check.
  • Willing to obtain other necessary approvals (e.g. vaccinations, site access).
  • Flexible to travel across NSW, including regional and rural areas.

Desirable:

  • Experience in research involving direct participant contact.
  • Up-to-date serology and vaccinations (Category A).
  • Familiarity with REDCap data management.
  • Understanding of clinical research processes and ICH/GCP guidelines.
