THE POSITION

The Administration Assistant (Infrastructure Delivery) will provide administrative support and services to the Manager of Infrastructure Delivery (MID) and Works Coordinators.

 

Reporting to Manager of Infrastructure Delivery, you will:

 

  • Answer and screen incoming customer enquiries, responding independently where possible or recording and referring enquiries to staff with the required knowledge / expertise.
  • Maintain and develop a workflow system capturing, tracking and prioritising all Infrastructure Services maintenance requests.
  • Process road inspection data collected by Artificial Intelligence for risk management and maintenance purposes.
  • Perform procurement of goods and services on behalf of the Manager for Infrastructure Delivery including requesting quotations, raising purchase orders, and managing invoicing.
  • Provide grant funding administration support to the Manager of Infrastructure Delivery, including writing grant applications and grant reporting to the funding body.
  • Manage correspondence, records and documents in the Enterprise Content Management (ECM) system.
  • Organise and coordinate resident communications for works schedules infrastructure projects as required by the Manager of Infrastructure Delivery.
  • Prepare social media posts and website publications for the Infrastructure Delivery section and respond appropriately to members of the public via social media in line with Council protocols.
  • Provide secretarial support for the Roads Consultative Committee including the preparation of meeting agendas and minutes, using a high standard of business writing to accurately reproduce meaning and content.
  • Research, develop and implement work systems, procedures and processes relevant to the role and responsibilities of Administration Assistant Infrastructure Delivery.
  • Perform routine administration and clerical tasks such as data entry, filing, mail processing and the booking of travel and accommodation for Infrastructure Delivery staff.
  • Assist with front counter reception duties to relieve other staff during absences.

 

WHO WE ARE LOOKING FOR

Specifically, you will have:

 

  • Experience and ability in the provision of quality administrative services in a multi-disciplinary business environment
  • Superior organisational skills, with the ability to effectively plan and coordinate activities and tasks involving multiple resources and stakeholders
  • Advanced computer skills in word processing, Excel spread sheets, Internet and email
  • Effective customer service and interpersonal/oral communication skills
  • Knowledge of geographical information systems –would be desirable
