Administration Assistant – Housing & Homelessness Support (HHS) Grampians Office – Ballarat and Hume Office – Shepparton (VIC)

Part Time Basis

  • Permanent, Part Time role (5.5 hours per week)
  • Competitive rates: $35.6902 - $36.4694 p/hr plus superannuation (dependent on qualifications + experience)

  • Based at either Grampians Office in Ballarat or Hume Office in Shepparton (VIC)

 

 

Your new role

We are looking for a proactive and detail-oriented professional to join our team in either Grampians office (Ballarat) or Hume Office (Shepparton).

 

This role plays a key part in ensuring the smooth operation of our services while providing high-level administrative support to the Support Services Manager and Coordinators. You will help maintain program records, coordinate administrative functions, and support the organisation of staff meetings, training, and events. Working collaboratively with a dedicated team across multiple regions, you will also ensure payroll requirements are met for staff, with a focus on Care and Support Workers, contributing directly to the delivery of high-quality services. 

 

Your duties and responsibilities will include the below:

 

Administrational Tasks 

  

  • Provide high level customer service when managing incoming calls for the HHS program, including communicating messages to the appropriate team member 
  • Review and check the client’s documents, records, or accounts
  • Complete car safety checks (every 6 months) 
  • Maintain gift register 
  • Assemble care packs for clients 
  • Undertake regular stocktake and ordering of office stationary and supplies 
  • Coordinate mail outs (as required) 
  • General typing of correspondence, reports, meeting minutes, memos etc. 
  • Prepare and produce all documentation as required for staff meetings, including the taking of meeting minutes 
  • Maintain and update general filing and archive files as per policy 
  • Order OHS and staff cleaning supplies and equipment as required 
  • Prepare new client information packs as required and maintain relevant supplies of office forms. 

 

Database Management 

  • Proactively assist with the maintenance of the Quality management system by entering data into the Client Information Management System (i.e. SamCare) as required.   
  •  Understand and adhere to Wintringham’s Code of Conduct
  • Participate in the continuous improvement cycle, by proactively identifying and raising improvements through Wintringham’s quality systems
  • Understand and adhere to Wintringham’s policies and procedures with relevance to the role
  • Stay informed about relevant industry standards and best practices, to support professional development and growth opportunities
  • Practice open communication and proactively participate in problem solving, where issues or areas of disagreement arise

 

We are looking for candidates with the following:

  • Qualification in Office or Business Administration or equivalent.
  • Experience in providing administrative support functions.
  • Experience in managing accounts and invoices and knowledge of goods
  • receipting.
  • Understanding of staff rostering processes.
  • Ability to liaise with all levels of management, staff and participants.
