Wintringham is a specialised non-religious not-for-profit welfare organisation. We are committed to providing older people who are at risk or have experienced homelessness with a range of high-quality care, housing and services. We employ more than 1,000 staff across Victoria and Tasmania
Our Head Office provides the strategic direction and support services for Wintringham’s residential, housing and community care services.

Your new role

An opportunity exists for a proactive and enthusiastic individual to join our Head Office team as a Part Time Receptionist/Administration Assistant. In this dynamic role you will be the first point of contact for all incoming Wintringham Head Office phone calls. You will be responsible for welcoming and assisting Wintringham Head Office visitors as well as providing essential administrative support to the People & Culture team. You will be required to work 3 days per week.
Your fortnightly roster will be as below:
Week 1: Wednesday, Thursday and Friday (0900 – 1700)
Week 2: Wednesday, Thursday and Friday (0900 – 1700)

Your duties and responsibilities will also include (but are not limited to) the below:

•    Provide a professional and welcoming front desk service, managing incoming calls and greeting visitors in a courteous and efficient manner
•    Manage daily correspondence including email, mail distribution, mail-outs and coordination of courier services
•    Maintain office administration functions including office supplies, internal phone registers and display of current organisational information 
•    Provide administrative support to the People & Culture team, assisting with people-related systems, data entry and compliance activities
•    Maintain accurate records and logs, including training records, flu vaccination documentation and other workforce-related information
•    Support compliance requirements through accurate documentation, tracking and record management
•    Assist with preparation of training materials and coordination of logistics, including copying, collating resources and organising catering as required

What we’ll require from you:

•    Previous experience in a People & Culture role/team
•    Previous experience in a Reception/Front Office position
•    Sound understanding of Microsoft Office suite (Outlook, Word and Excel)
•    Professional and friendly phone manner
•    Ability to liaise effectively with clients, staff and management
•    Ability to work autonomously whilst also contributing to the reception team
•    Excellent communication skills
