Are you ready to do what you love? Join us as the Group Bookings Coordinator at Howard Smith Wharves.
We are looking to appoint a Group Bookings Coordinator to join our team. In this role, you will report to the Group Reservations and VIP Manager and be responsible for driving revenue by managing all inbound and outbound enquiries related to group reservations across Artemus Group’s portfolio of venues. This position will play a key role in supporting both Howard Smith Wharves venues in Brisbane and Manly Wharf venues, ensuring a seamless group booking experience across these iconic locations.
Key responsibilities include:
- Respond promptly and professionally to all inbound group booking enquiries via phone, email, and online platforms.
- Conduct outbound business development and follow-up communications to maximise conversion rates and secure repeat business.
- Manage the group booking process end-to-end, from enquiry through to confirmation and handover to operations.
- Conduct site inspections with potential clients, delivering a polished and informative experience that highlights venue capabilities.
- Prepare proposals, event briefs, and booking confirmations in line with brand standards.
- Upsell venue features, packages, and add-ons to maximise revenue per booking.
- Maintain accurate records of bookings, leads, and client communication using the CRM system and SevenRooms.
- Collaborate with venue managers and kitchen teams to ensure operational readiness and accurate event delivery.
- Assist with general reservations duties when required, working as part of the wider team.
What we are looking for:
- Minimum 3 years’ experience in hospitality or events sales, preferably across multi-venue groups
- Demonstrated success in converting leads and achieving sales targets
- Proficiency in CRM systems and booking platforms (experience with SevenRooms is a plus)
- Strong administrative and organisational skills with attention to detail
- Excellent verbal and written communication skills
- Proficient in Microsoft Office Suite (Excel, Outlook, Word, PowerPoint)
- Experience working in a fast-paced hospitality environment, multi-venue experience highly regarded
- Proven ability to build trust and solid working relationships with all stakeholders
- Working with relevant departments to ensure guest satisfaction whilst maintaining and increasing venue revenue
- Flexible hours and occasional weekend work may be required
