Due to growth within our organisation, we are looking for an experienced HSECQLD Systems Coordinator to support the business across Western Australia

We are searching for a coordinator or administrator with high levels of experience in digital sub-contractor / supplier management and approval systems, Learning Management Systems and Document Control systems.

Supported by the HSECQLD Manager and Team Leads you will be responsible for ensuring a high level of compliance with our client sub-contractor / supplier management portals and systems.

This is an exciting and dynamic role working across HSECQ&LD, Operations and Finance departments while being the primary contact with Clients and external stakeholders for system-related business. 

Responsibilities:

  • Coordinate the provision  and uploading of documentation for “Approved Supplier Applications” from MGM  department leads into client portals and systems.
  • Coordinate and maintain electronic access to client portals and systems for all MGM Department Leads who are responsible for entering data directly into the client system. (E.g. confidential data from the CFO will be self-entered and will require own access)
  • Maintain strong working relationships with “Client system coordinators”. 
  • Following the contract award to MGM, coordinate the uploading of all required HSECQLD data into the client portals and systems in readiness for project commencement.
  • Ensure a rapid response to client clarification emails relating to documentation or data that has been uploaded into the system or portal.
  • Maintain a schedule to ensure all client systems and portals are reviewed daily, weekly, monthly, quarterly and annually to achieve 100% compliance to client requirements.
  • As a result of the scheduled reviews above, liaise with MGM  Department Leads to ensure the supply of up-to-date operations and employee data and documentation to achieve 100% compliance within client systems and portals.
  • Where the client system and portal allow, review impending renewals, recertifications and document revisions and liaise with relevant department leads to update the required information before “Out of Date”. 
  • Identify, communicate, and implement continuous improvement initiatives to reduce administrative time associated with client systems and portals.
  • Liaise with MGM Department Leads and coordinate software updates to client systems and portals.
  • In consultation with Operational teams and CFO, initiate insurance claims with MGM's insurance broker 
  • Coordinate Learning, Induction, VOC, and assessment expiry dates into My Osh and then into the future LMS. 
  • Assist with the development of Learning and Development documents to ensure relevancy and currency. (VOC, Assessments, Driver Manuals. 
  • Undertake Document control for the Learning and Development team. 
  • Document updates into MGM LMS and Client portals/ systems. 
  • Coordinate the development of documentation explaining the MGM Learning and Development process and systems.   
  • Facilitate strong relationships with managers and employees across all branches.
  • Help promote HSEQ awareness throughout the business.
  • Ensure that all safety and quality policies and procedures are followed at all times.
  • Other duties as directed by the HSECQLD Team or Directors consistent with the role and capabilities.

Skills and Experience:

  • Excellent organisational, analytical skills and computer skills
  • High level of Document development and Control experience
  • High level of experience with the administration of client supplied sub-contractor management systems, such as but not limited to INS, Avetta, Credenza, SAP
  • Intermediate to advanced Microsoft Suite skills.

Must Have’s:

  • Valid C Class WA Drivers Licence.
  • Experience in sub-contractor / supplier management and approval systems.

Advantageous:

  • Certification demonstrating knowledge of and experience with sub-contractor management systems as stated above. 
  • First Aid & CPR training 
  • Experience with the administration of Learning Management Systems.
