  • Competitive pay rates: $35.69 - $36.46 per hour (dependent on qualifications) + superannuation
  • Part Time Basis (30.4 hours weekly split over 4 or 5 days)
  • Based at our North Western Office in Flemington (VIC)

 

 

Your new role

We are looking for a proactive and detail-oriented professional to join our team the North Western office in Flemington as our Administration Assistant for the Support Services Team. This crucial position operates within the Home Support team on a Part Time basis for 30.4 hours per fortnight. The weekly hours can be split over 4 or 5 days per week.

 

This role plays a key part in ensuring the smooth operation of our services while providing high-level administrative support to the Support Services Manager, Coordinators, and rostering staff. You will help maintain program records, coordinate administrative functions, and support the organisation of staff meetings, training, and events. Working collaboratively with a dedicated team across multiple regions, you will also ensure payroll requirements are met for staff, with a focus on Care and Support Workers, contributing directly to the delivery of high-quality services. 

 

Your duties and responsibilities will include the below:

  • Type and maintain records of correspondence, reports, and meeting minutes.
  • Act as receptionist, managing incoming calls and liaising with external agencies, management, and staff across sites.
  • Communicate with participants about roster changes via phone or email as required.
  • Support the Support Services Manager and team with administrative tasks and communications.
  • Coordinate daily correspondence, email management, and filing/archiving.
  • Prepare weekly staff timesheets, entering hours and travel into PayGlobal.
  • Manage office supplies, incidents, feedback in Riskware, and generate related reports.
  • Manage the Support Services team’s petty cash, invoice approvals, and purchase order processes.
  • Ensure all invoices are submitted for approval to authorised officers with the correct financial delegation

 

We are looking for candidates with the following:

  • Qualification in Office or Business Administration or equivalent.
  • Experience in providing administrative support functions.
  • Experience in managing accounts and invoices and knowledge of goods
  • receipting.
  • Understanding of staff rostering processes.
  • Ability to liaise with all levels of management, staff and participants.
