About the Role
Working closely with our Roshana Head Office team, this position is responsible for providing personal assistance to the CEO.
Duties and Responsibilities:
1. Executive Support:
- Manage the calendars and schedules of CEO and Co-CEO, coordinating meetings, appointments, and travel arrangements.
- Prepare and manage correspondence, reports, presentations, and other documents as required.
- Serve as the primary point of contact for internal and external stakeholders on behalf of the CEO and Co-CEO.
2. Corporate Governance:
- Organise and coordinate board meetings
- Circulate agendas, previously unconfirmed minutes, Board action plans, reports and other meeting documents within the required timeframe
- Record minutes of meetings including attendances, apologies, declaration of conflict of interests, Executive reports, Board subcommittee reports and relevant discussions and decisions
- Ensure compliance with regulatory requirements and maintain up-to-date corporate records.
- Follow up on action items and decisions from board meetings.
3. Communication:
- Facilitate effective communication between the executive team and stakeholders, both internal and external.
- Address and resolve issues or inquiries in a professional and timely manner.
- Backfill front of house reception and provide administrative support to other departments as required.
- Compliance with the Aged Care Standards and Roshana's Policies and Procedures
- Administrative duties
4. Projects:
- Leading ad hoc projects across different aspects of the business
- Planning corporate events from small facility anniversary events to large scale events with 500+ attendees
Skills, Attributes and Experience
- High level of interpersonal and communication skills
- Extremely high attention to detail
- High level of commitment to customer service
- Organized with a high attention to detail
- Experience with MS Office Suite
- Must be able to travel to different locations within Australia when required
- Experience as an Executive Assistant/ Secretary
