About the Role

We are seeking a highly organised and proactive Administration Officer to join our Procurement and Maintenance Department at Head Office. This role plays a critical support function across multiple sites, ensuring smooth coordination of maintenance activities, procurement processes, supplier communications, and accurate system record-keeping.

The successful candidate will work closely with site teams, contractors, suppliers, and internal stakeholders to ensure work orders, tickets, and administrative processes are followed up in a timely and professional manner.

 

Key Responsibilities

Work Order & System Management

  • Monitor and follow up on maintenance work orders raised through the Facility Management Interface (FMI)
  • Track overdue works and coordinate with sites and contractors to ensure timely completion
  • Update costs and support approval processes to enable accurate invoicing

Zendesk Ticketing Support

  • Allocate and manage Zendesk tickets to relevant Procurement & Maintenance team members
  • Track progress and ensure effective communication until resolution

Supplier & Contractor Coordination

  • Follow up with suppliers and contractors regarding quotes, works completion, and deliveries
  • Assist with onboarding new contractors, ensuring licences, insurances, and documentation are current
  • Maintain contractor records and track contract expiry dates and renewals

 

Procurement & Logistics Support

  • Coordinate delivery tracking for goods and services ordered through Head Office
  • Ensure completion and delivery details are accurately recorded in relevant systems
  • Provide day-to-day administrative support to the Procurement & Maintenance team

Fleet Administration

  • Maintain fleet records including registration, insurance, servicing, and maintenance schedules
  • Assist with coordinating vehicle servicing and ensuring compliance with fleet procedures

Skills & Experience

Essential:

  • Previous experience in an administration, coordination, or support role (procurement, maintenance, or facilities experience preferred)
  • Strong organisational and time-management skills with the ability to manage multiple priorities
  • Excellent written and verbal communication skills
  • High attention to detail and accuracy in data entry and documentation
  • Proficient in Microsoft Office (Word, Excel, Outlook)
  • Ability to work independently and as part of a team
