About the Role:

We are currently seeking an experienced Administration Assistant to join our friendly team at Macleay Valley NSW. Your warm, understanding and professional nature will be instrumental in supporting the individual journey and smooth transition into Aged Care. We are looking for an Administration Assistant who is willing to work on a part time basis, 3 days a week.

Duties & Responsibilities:

Administration and Support
• Provides word processing and secretarial support, assists with preparing presentations and drafts correspondence for the Aged Care Services team.
• Direct incoming calls to relevant staff and residents
• Assists with responding to inquiries, complaints, and resolving problems concerning contracts, programs, projects, services provided and persons affected.
• Assist with managing information associated with contracts, programs, projects and services provided
• Maintaining employee records and archiving
• Accept completed applications for prospective applicants
• Regularly renew waiting list to ensure applicants remain current
• Advises the Facility Manager and senior leaders within Aged Care Services on matters requiring attention and carries out implementation of policy changes.
• Organises meetings, workshops, seminars and events including arranging participant attendance, venue and catering, travel and accommodation, preparation and distribution of agendas and minutes and following up the implementation of outcomes.

Systems and Processes
• Receives and collects individual reports and information from the Aged Care Services team relating to monthly reporting and compiles into a consolidated report.
• Collates and analyses monthly team KPI’s aligned to the Strategic Plan.
• Track employee training records


Projects
• Participates in project meetings and planning sessions to provide appropriate administrative support.
• Distributes information to project shareholders as required.
• Ensures information and filing structures are efficient and effective to meet project requirements.


Other
• Ensures regulatory compliance in relation to Work Health and Safety, in accordance with Roshana Care Group safety policies and procedures.
• Attends and participates in staff meetings as required.
• Maintains own professional development.
• Ensures compliance with Roshana Care Group policies and procedures.
• Other duties as requested by the Facility Manager

What we are looking for:

Essential
• Relevant qualification and/or significant demonstrated experience in a similar role.
• A high level of interpersonal and communication skills, including the ability to write reports and correspondence.
• Demonstrated high level commitment to customer service.
• Ability to undertake research and analysis on general topics.
• Demonstrated proficiency in a wide range of IT applications, including Microsoft Word and Excel.
• Demonstrated experience in working in a multi-disciplinary team.
• Demonstrated experience in coordinating and planning activities.


Desirables
• Initiative, innovation and self-motivation together with the ability to work effectively and flexibly, set priorities and manage variable workloads.
• Good understanding and experience in basic project management.
• An understanding of contemporary issues impacting on the aged care sector.
