About the Role

The Billing and Admissions Support Officer is a crucial team member who assists the Billing and Residential Specialist and the Billing and Residential Officer in managing financial aspects and documentation associated with residents in aged care homes and retirement living facilities. This role requires a detail-oriented individual with strong organisational skills who can provide essential support in admissions, billing, and administrative tasks.

Key Responsibilities

  1. Admissions Process Support
    • Assist in managing the admissions process for new residents entering aged care homes and retirement living facilities.
    • Support the preparation and processing of Residential Aged Care Residency and Supplementary agreements.
    • Help ensure compliance and accuracy in all admissions-related documentation
    • Coordinate with residents, families, and internal teams to facilitate smooth transitions under the guidance of senior team members.
  1. Billing and Finance Assistance
    • Support the management and processing of resident fees, including regular billing cycles.
    • Assist in preparing exit entitlements for departing residents.
    • Use Clinical Information Systems for booking and billing purposes under supervision.
    • Help reconcile accounts and identify billing discrepancies.
    • Support senior team members in liaising with government agencies regarding funding and subsidies.
  1. Customer Service
    • Provide front-line customer service to residents, families, and internal stakeholders
    • Respond to basic inquiries regarding admissions, billing, and financial matters, escalating complex issues to senior team members.
    • Maintain confidentiality and handle sensitive information with discretion.
  1. Compliance and Reporting Support
    • Assist in ensuring all admissions and billing processes comply with relevant regulations and organisational policies.
    • Help prepare regular financial reports for management.
    • Contribute to the continuous improvement of admissions and billing processes by providing feedback and suggestions.
  1. Administrative Support
    • Manage document filing and retrieval systems, both physical and digital.
    • Schedule appointments and meetings for the Billing and Residential Specialist and Officer.
    • Assist with data entry and maintenance of resident records in the Clinical Information System.
    • Prepare and distribute correspondence related to admissions and billing.
  1. Specific Duties
    • AN-ACC Support.
    • Assist in the coordination of Australian National Aged Care Classification (AN-ACC). assessments for new and existing residents.
    • Help maintain accurate records of AN-ACC classifications and reassessments.
    • Support the preparation of documentation for AN-ACC funding claims.
  1. Admissions Documentation
    • Prepare initial drafts of admission agreements and supporting documents.
    • Assist in collecting and verifying required information from new residents and their representatives.
    • Help organise and maintain admission files, ensuring all necessary documents are present and up to date.
  1. Billing Support
    • Assist in generating and distributing monthly invoices to residents or their representatives.
    • Help process payments and update resident accounts in the financial system.
    • Support the reconciliation of resident accounts, flagging discrepancies for review by senior team members.
  1. Data Management
    • Enter and update resident information in the Clinical Information System.
    • Assist in maintaining accurate records of services provided, fee changes, and payment histories.
    • Help generate regular reports on occupancy, revenue, and other key metrics as required.
  1. Customer Liaison
    • Act as a first point of contact for basic inquiries from residents and families.
    • Provide clear and accurate information about fees, services, and admission processes.
    • Escalate complex queries or concerns to the Billing and Residential Specialist or Officer.
  1. Process Improvement
    • Identify potential inefficiencies in current admissions and billing processes.
    • Suggest improvements to streamline workflows and enhance accuracy.
    • Participate in team meetings and contribute ideas for service quality enhancement.
  2. Ad-hoc Tasks
  • The employee is required to perform various ad-hoc tasks as assigned by their manager or the management of Roshana Care Group, demonstrating flexibility and willingness to support the organisation's needs beyond their core responsibilities.

 

Qualifications and Skills

  • Associate higher education in Business Administration, Finance, or a related field.
  • Minimum 1 year of experience in an administrative or support role, preferably in aged care or healthcare settings.
  • Basic understanding of aged care funding and regulations.
  • Excellent organisational and time management skills.
  • Proficiency in Microsoft Office suite and ability to quickly learn Clinical Information Systems.
  • Strong communication and interpersonal skills.
  • Ability to work effectively as part of a team.
  • High attention to detail and accuracy in data entry and financial calculations.
