About the Role

Working closely with our Roshana Head Office team, this position is responsible for providing personal assistance to the Co-CEO. 

 

Duties and Responsibilities:

1. Executive Support:

  • Manage the calendars and schedules of Co-CEO, coordinating meetings, appointments, and travel arrangements.
  • Prepare and manage correspondence, reports, presentations, and other documents as required.
  • Serve as the primary point of contact for internal and external stakeholders on behalf of the Co-CEO.

2. Corporate Governance:

  • Organise and coordinate board meetings
  • Circulate agendas, previously unconfirmed minutes, Board action plans, reports and other meeting documents within the required timeframe 
  • Record minutes of meetings including attendances, apologies, declaration of conflict of interests, Executive reports, Board subcommittee reports and relevant discussions and decisions
  • Ensure compliance with regulatory requirements and maintain up-to-date corporate records.
  • Follow up on action items and decisions from board meetings.

3. Communication:

  • Facilitate effective communication between the executive team and stakeholders, both internal and external.
  • Address and resolve issues or inquiries in a professional and timely manner.
  • Backfill front of house reception and provide administrative support to other departments as required.
  • Compliance with the Aged Care Standards and Roshana's Policies and Procedures
  • Administrative duties

4. Projects: 

  • Leading ad hoc projects across different aspects of the business
  • Planning corporate events from small facility anniversary events to large scale events with 500+ attendees 

 

Skills, Attributes and Experience

  • High level of interpersonal and communication skills
  • Extremely high attention to detail
  • High level of commitment to customer service
  • Organized with a high attention to detail
  • Experience with MS Office Suite
  • Must be able to travel to different locations within Australia when required 
  • Experience as an Executive Assistant/ Secretary
  • Must be able to speak Sinhalese
