About the Role

Roshana Care Group is seeking a motivated and detail-oriented Administration Officer to join our Procurement and Maintenance Department. This position primarily involves engaging with external stakeholders such as suppliers, contractors, and service providers to ensure effective coordination and administration across procurement, maintenance, and fleet management functions that support our Aged Care and Mental Health facilities nationwide.

The ideal candidate will possess excellent organisational and communication skills, demonstrate the ability to manage multiple priorities, and take a proactive approach to maintaining compliance, accuracy, and efficiency in all administrative processes.

 

Key Responsibilities

  • Manage contract and agreement documentation, including collecting supplier documents and following up on counter-signed agreements.
  • Coordinate product deliveries by liaising with suppliers and site staff to ensure timely completion.
  • Gather service and maintenance reports from contractors and follow up on scheduled works for Aged Care and Mental Health facilities.
  • Monitor supplier contracts and agreements, ensuring they are current and re-signed prior to expiry.
  • Coordinate the ordering and distribution of employee name badges across all sites.
  • Assist with scheduling and administrative tasks related to planned maintenance in the Facility Management Information (FMI) system.
  • Maintain the company vehicle fleet, including employee vehicle agreements, registration, and documentation.

 

Skills and Experience

  • Previous experience in an administrative role, preferably within procurement, maintenance, or facilities management.
  • Strong attention to detail and excellent organisational skills.
  • Fluency in English and ability to communicate effectively with suppliers, contractors, and internal stakeholders.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Ability to work under pressure and prioritise tasks and work independently within a fast-paced environment.
