About the Role

We are seeking a warm, organised, and resident-focused Retirement Village Coordinator to join our Grandton team in Applecross, WA. This role plays an important part in supporting the daily operations of our retirement living community, ensuring residents feel welcomed, informed, and supported.

As the key point of contact for residents, families, and visitors, you will help foster a positive and connected community environment. You’ll assist with administrative tasks, support the coordination of property maintenance, keep important records up to date, and contribute to a smooth and enjoyable living experience for our residents.

This role will be on a part time basis working two days per week.

 

Responsibilities:

  • Be the first point of contact for residents, families, and visitors, consistently providing friendly and professional customer service.
  • Assist with day-to-day administrative duties including record keeping, correspondence, and maintaining accurate resident and village documentation.
  • Support the coordination of maintenance requests, repairs, and contractor visits to help ensure the village remains safe, compliant, and well-presented.
  • Build strong relationships with residents, listening to concerns and helping to facilitate timely responses or escalation when needed.
  • Assist with the planning and coordination of community activities, events, and engagement initiatives.
  • Help prepare basic reports and support financial administration such as invoice processing and budget tracking.
  • Contribute to village communication, including distributing updates, assisting with meetings, and helping gather resident feedback.
  • Monitor general operational needs and flag issues or risks to the relevant team members to support continuous improvement.
  • Provide supportive and sensitive handling of resident enquiries, concerns, or minor disputes in line with policy.

 

Skills & Attributes:

  • Knowledge about the Retirement Village Act of Western Australia
  • Experience in aged care, retirement living, community housing, or a similar customer service–focused environment.
  • Excellent communication and interpersonal skills, with the ability to build trust and rapport with a diverse resident community.
  • Strong organisational and time management abilities, with confidence managing multiple tasks and priorities.
  • Basic budgeting or financial administration experience (e.g., invoice processing, data entry, tracking expenses).
  • Competent computer skills, particularly in Microsoft Office (Word, Excel, Outlook).
  • A proactive, solutions-focused approach with strong attention to detail.
  • A caring, respectful, and community-minded attitude, with a commitment to quality and continuous improvement.
