About the role

The Office Manager is responsible for the smooth management and operation of the administration responsibilities for Werribee and Melton offices.

The position will manage the reception role in Werribee and provide training and support to the Melton receptionist to ensure administration responsibilities including reception are maintained to a high standard.

The role is to provide a professional and friendly first point of contact to all VACCA clients and visitors contacting the office. They will also be responsible for communicating messages and contact to staff in the offices via answering the phone and maintaining the message service. This role will provide executive administration and support functions to the Regional Director, Client services and leadership group to support the range of leadership functions for the division.

This role requires a skilled administrative officer who is able to maintain confidentiality, is highly organised and professional and has the ability to work respectfully with Aboriginal staff and families and professionals. 

About You

The successful applicant will possess:

  • Demonstrated understanding of, and commitment to, the values that underpin VACCA’ vision and purpose and the capacity to take a leadership role in championing these internally and externally
  • Demonstrated awareness and appreciation of Aboriginal societies and cultures, and commitment to continually build knowledge of such, along with a high level of awareness of the key issues which impact upon Aboriginal communities
  • Experience working with Aboriginal people and or providing support to Aboriginal individual and families in a respectful manner
  • Organisational skills and have the ability to establish systems for record keeping, data entry and program planning
  • Experience using a broad range of computer applications and office equipment
  • Experience and or ability to manage other administrative staff and provide leadership and support to the reception roles, including on the job training
  • Demonstrated understanding of privacy and confidentiality issues and the ability to maintain this
  • Ability to manage a high workload, prioritise work and meet deadlines
  • Experience with managing the credit card including record keeping and account reconciliation
  • Strong communication skills, relationship skills and an ability to liaise with internal/external stakeholders and clients
  • Ability to provide a professional and courteous telephone and reception service to individuals, professionals and families contacting the office via telephone, email and face to face.
  • Ability to provide direct administrative assistance to an executive position including but not limited to managing electronic calendar, preparing emails and reports, filing etc
  • A proven ability to deal with conflict and or ability to acquire these skills.
  • Experience in the storage, accessing, handling and security of confidential information and material
    • Flexibility- Availability to work flexible hours will be an advantage.
    • Communication: Develops and communicates clear, culturally appropriate, respectful and consistent messages to staff clients and community members
    • Problem Solving Implements organizational policies, procedures and systems to address incidents and problems and assists team members to develop culturally appropriate solutions
    • Interpersonal skills Models appropriate interpersonal skills, self-awareness, self-management, and community/ cultural awareness in communications, problem solving and conflict resolution
