ACCOUNTABILITY OBJECTIVE

Under the direction of the Vice President, People provides support to all areas of the People Department.  The People Department provides human resource and employee relations support to senior living residences across Canada. As a part-time Office Assistant, handle client-facing duties, general management tasks and administrative support at our Toronto location.

BACKGROUND/QUALIFICATIONS

A post-secondary school education or related community college diploma and/or equivalent experience is required; relevant post-graduate education is an asset. College or equivalent experience preferred.  Experience as an administrative assistant or receptionist/assistant, or the equivalent.  Must be able to communicate, both written and orally, in the English language.   Self-directed, well organized individual with demonstrated skills in managing several projects at one time, and with a proficiency in Microsoft Office.  Must be detailed orientated with strong interpersonal skills and an ability to maintain confidentiality. Exceptional customer service skills and professional manner in all forms of communication a must.

KEY RESPONSIBILITIES  - ASSISTANT, PEOPLE

Provides assistance and support to team members in the People Department in all areas of Human Resources and Labour Relations.

Duties may involve support to talent development initiatives, employee recognition programs, employee handbooks, benefit plans, Sharepoint People site, wellness programs, positive workplace environment initiatives, Chairing (Co-Chairing) the Fun Committee, organizing Corporate and departmental events, etc. 

Assists in advising on employee relations matters including performance management, attendance management, etc.  Drafting related letters, etc.

Provides proactive services, problem solving, and counsel to General Managers and line managers in all human resources areas.

Advises on legal compliance related to requirements under government regulations such as Occupational Health & Safety, Workers Safety and Insurance, Human Rights, Accessibility, and Employment Standards Acts.

Conducts and assist with the recruitment for assigned positions at the Corporate office including Co-op Students and liaises with Colleges & Universities to promote Company and career opportunities.

Assists with orientation and on-boarding of personnel and drafts offer of employment letters, as assigned.

Provides education as assigned, either virtually or in-person (and may involve travel to residences), as it relates to assigned human resources projects.

Works independently on assigned projects or research, as assigned by Vice President, People. 

Response to general inquiries appropriately (i.e.. within scope of position or refers to appropriate team members). 

Organizes and compiles department information and programs in a user-friendly fashion on departmental and Company shared drives, etc.

KEY RESPONSIBILITIES – ASSISTANT, OFFICE

Provides courteous and efficient customer service to staff, visitors, etc.

Organizes meetings including the set-up and proper functioning of any technology (ie. videoconferencing equipment, webinars, etc.)

Provides administrative support and completes tasks with accuracy and within deadline.

Provides vacation coverage and back-up for Administrative/Executive Assistant team.

Maintains up-to-date documents and records on SharePoint, as assigned

Greets all visitors, answers phones, etc.

Handles queries via phone, email and general correspondence

Assists with Corporate events

Manages meeting rooms

Receives and dispatches deliveries and couriers

Assists with mail (incoming and outgoing)

GENERAL

Participates in and contributes to the Verve Quality Improvement (VQI) Program.

Complies with all relevant corporate policies and procedures.

Completes all required annual training/education.

Complies with the Occupational Health and Safety Act, Workplace Safety and Insurance Act, and Workplace Hazardous Material Information System. This includes recognizing health and safety hazards, reporting incidents, fulfilling responsibilities under the applicable legislation, as well as participating in in-services and fire drills.

Performs other duties as assigned.
