The George Institute India

 

The George Institute, a wholly owned legal not-for-profit Indian research institute, has been conducting research related activities in India since 2002. The George Institute India’s mission mirrors that of the parent organization, namely the discovery and implementation of solutions to chronic and disabling health problems through research, policy development and capacity building.

 

A number of large-scale projects in population, health systems and clinical research, funded by a diverse group of sponsors, both public and private, are conducted in India. The George Institute India comprises two distinct operating groups: Research and Development, and Infrastructure and Resources. It has two separate offices - in Hyderabad and New Delhi, where the research staff and senior management are based.

 

Context and Role

The George Institute for Global Health in India is growing at a phenomenal pace. The Project Support Assistant will support the researchers and project teams in executing the of administrative processes and requirement and support project tracking of administrative tasks. This role will provide seamless support to the resaerchers, project teams by being the link between various internal and external stakeholders and meeting the administrative requirements.

 

Reporting Relationships

Directly reports to Program Head, Cardiovascular

 

Duties and Key Responsibilities

 

  • Maintain and manage the research lead’s and teams calendar
  • Schedule internal and external meetings across multiple time zones
  • Prepare meeting agendas, minutes, and follow-up action trackers
  • Coordinate committee, collaborator, and stakeholder appointments
  • Assist in preparing study budgets and budget justifications
  • Track spending against approved budgets and flag variances
  • Support procurement processes (quotations, vendor coordination, invoices)
  • Prepare periodic financial summary reports for management and sponsors
  • Arrange domestic and international travel and accommodation
  • Prepare itineraries and manage travel reimbursements
  • Coordinate logistics for site visits, conferences, and workshops
  • Coordinate advertisement and screening of applications
  • Schedule interviews and support the interview panel
  • Assist with onboarding documentation and induction processes
  • Maintain project files, records, and documentation
  • Track project timelines and support preparation of progress reports
  • Liaise with institutional admin/finance/HR teams
  • Support ethics and regulatory document submissions (administrative tasks)
  • Assist with organising research meetings, seminars, and training events
  • Submit manuscripts to journals

  • Participate in special projects to improve processes, tools, systems and organisation;

Skills, Knowledge and Experience

 

  • Qualifications: Bachelor's degree in commerce, business, administration, or related field preferred, with 2 to 3 years of experience in support coordination, operational and administrative.
  • Strong organisational and time-management skills
  • Excellent written and verbal communication
  • Ability to handle confidential information with discretion
  • Financial literacy and working knowledge of budgets
  • Ability to prioritise and multitask in a fast-paced research environment
  • Strong attention to details and ability to follow processes and navigate quickly through to get things done.
  • Strong ability to use MS Office (Word, powerpoint and Excel). High level of Exccel proficiency is essential.
  • Strong ability in data management is essential for this role.
  • Demonstrated capability to produce outcomes and achieve objectives within agreed time lines.
  • Excellent teamplayer, with demonstrated ability to collaborate in small teams and with a wide range of varying stakeholders;
  • Ability to demonstrate flexibility and to be adaptable to changing organisational priorities and ambiguous environment
  • Strong focus on producing the highest quality of work and on ensuring optimum accuracy of outputs
